ATG Travel is a global travel & expense management company, providing business travel services in 140+ countries worldwide. Since 1995, they’ve served companies, big and small, by managing employees’ travel through agent services, proprietary booking technologies, quality control, account management, reporting and data management insights and HR products.
Being a leader in its industry, they were nominated for the 2024 Best Travel Management Company by the European Mission Awards.
Paula Anderson is the Senior Proposal Administrator at ATG, she’s been with the company for over 20+ years supporting the business development Vice President of the Americas, Europe and Asia–Pacific region. She helps to create content and execute business development and marketing initiatives. She also oversees the company's RFP and other business proposals for a selection of Fortune 1000 travel needs.
Before using Visme, the team had relied on PowerPoint for years and then transitioned to Turtl for two years. While Turtl provided the basic features they needed, it still lacked the breadth of capabilities and functionalities the team was looking for.
Paula understood that switching from one software to another wasn’t a simple change or solution; she needed to ensure the next software they adopted would be a long-term fit.
One of the first important features that allowed Visme to make Paula’s extensive list was that Visme was at the time, 75% less than all of the ATG’s previously used content creation tools. Plus, its user-friendly interface made it easy for the team to adopt and create designs without prior design experience.
“This was a huge saving for us from our previous tool. Visme has also allowed us to bring all design work in-house. There is no need to outsource work to a designer since the tool is so easy for a novice to use,” Paula shares.
Another significant advantage that Visme provided Paula with was eliminating the need for third-party subscriptions for stock images or videos, as these resources were readily available within their Visme account. Additionally, the company could easily upload, organize and access their own stock photos and videos in folders within the platform.
Lastly, Visme offered highly customizable editing features, including a drag-and-drop editor, text adjustments, branding and the ability to easily copy and paste slides between different presentations.
Paula needed a presentation software that wasn’t going to force her to rebuild each presentation from scratch, she needed something that would come ready to go, scale or remodel with ease.
This was a significant improvement over their previous platform, which lacked these capabilities and limited their ability to streamline workflows and create documents aligned with their business initiatives.
“When I started using Visme I hit the ground running. I didn't go through the training, which I probably should have, but Visme was just so easy. I could start on my own and if I couldn't figure something out, I emailed customer success and got the help I needed.”
Once Paula was onboarded to Visme, she created her first project. She explored the platform and browsed the template library to find one that matched their branding and effortlessly conveyed a desired look and feel. After selecting a template she liked, she began building out a presentation deck.
“Our CEO’s initial reaction to our first Visme presentation was fantastic. She loved the ‘bumper’ pages I created that separated our presentations into different sections. I would find video clips that matched the topic like “traveler happiness” and it took our presentations to the next level.”
Since then, Paula and her fellow Visme users have created 600+ projects, and the numbers will only continue to grow.
Paula along with two other team members are the main users of Visme. They use Visme to create content such as documents, social media graphics and presentations for a wide range of business tasks.
For Paula specifically, her content creation bridges between proposals, customer success, customer support, PR and any other needed support for business development activities.
To keep up with demand and streamline workflows, Paula has used Visme to create branded templates for presentations and product pages across a variety of services, projects and tasks. In the past, this would have taken her a significant amount of time, but with Visme, she was able to deliver projects much faster.
“Since we already have the presentations and the product pages built, if I get an agenda from one of our sales people, then I can put together a presentation in around a quarter of what it would take to build it in PowerPoint,” Paula shares.
Since ATG serves a variety of B2B clients, Paula and her team took the initiative to create content that offers potential clients the option to either schedule a one-on-one product walkthrough with their agents or explore a self-service route. This is where self-running demos come into play.
Self-service demos were created to support their 'Powering Up Your Travel Program.' These demos feature an interactive presentation with a list of items, each with a button that clients can interact with at their own pace.
'Once you click on these little power buttons, it will take you to the description of that particular tool or product, or a map for more details. That’s something I could never have done in PowerPoint or Turtl,' Paula added.
Each interactive piece of content was then linked to individual project pages, creating a network of self-running demos for each product. These demos included quick GIFs or videos showing clients how to fill out forms, complete procedures, and navigate client-focused platforms used by the company.
This use of interactivity not only helped reduce bottlenecks but also became a valuable resource for both customer support and customer success teams. It impressed prospects, such as travel managers or procurement officials, who were looking for solutions for their travel programs.
These self-service demos also serve as a refresher for prospects who may have had a lengthy presentation and might not have recalled the details of what each product does. Once a prospecting presentation is over, the self-demos are linked or shared afterward, allowing potential clients to browse at their own pace before making a purchase decision.
Visme offers a wide range of interactive features that help create a more immersive experience, eliminate clutter and guide readers smoothly from point A to B.
These interactive features make it easy to create hotspots, link slides, add pop-ups, design clickable tables of contents, embed content and much more. The best part? No coding is required, and it can be used with any type of content.
Next to being able to create and manage their own brand kit in Visme, Paula and the team also use Visme to customize and personalize presentations based on each prospect. They do this by adding key elements such as a prospect’s logo, hits of their branding and visual examples.
Paula also adds videos when creating sales or webinar presentations to create “bumpers” so that when sales representatives are switching topics during a presentation, these videos act as visual cues to inform the audience.
To find videos related to the presentation topics at hand, Paula enters a keyword in Visme’s video library and hovers over the video thumbnails to preview the content before adding them to her decks. This saves time by eliminating the need to add and remove videos, and the search suggestions reduce the need for manual searches.
One fun and engaging way she adds a touch to presentations is by including a video of a steaming cup of coffee with a timer, indicating that it’s time for a quick coffee break.
This is mainly used at in-person events and helps to signal a more immersive signal pause to participants, rather than an abrupt stop during the presentation. Attendees can also watch the timer count down and get back to their seats quickly when the presenter is ready to start the meeting again.
Paula is the main user of Visme, along with two other team members. Since Paula was the first user in her entire company, she set the tone for her team members who joined later on. She had a head start at building out workflows, and branded templates that could be streamlined into projects.
When her team members joined Visme, she used Visme’s folder feature to organize projects and content, ensuring that everyone could easily find items without waiting for email replies.
“As a team, I would say the best feature is having different folders for projects and presentations. It makes it easy for my colleague who lives in the Netherlands, six hours ahead of my time zone, to easily find what they need or create a presentation instantly, instead of waiting for me to sign in when my workday starts,” Paula remarks.
Paula also took advantage of Visme’s project permission features, which allow users to control access to projects—whether to view, comment or edit. This approach provided Paula and her team members with a smoother transition into the Visme workspace and laid the foundation for seamless collaboration.
Using Visme’s real-time updates and ability to have team members work simultaneously on projects together has also helped to remove bottlenecks created by working remotely with international team members.
“I can make changes to our individual slides and my colleagues immediately have access to the changes. No more emailing slides back and forth. Visme makes sure everyone has the newest version of each project. It’s a major time-saver,” Paula adds.
Paula uses Visme to create and distribute newsletters to her international team. With Visme’s newsletter templates, design features and stock library, Paula has been able to elevate her company’s newsletter designs with ease.
Paula’s go-to approach when creating a newsletter is to incorporate items from Visme’s stock library to match the context of the topic. Alternatively, she’ll upload a video from a company event, webinar or previous project.
“When I create our company newsletters, I try to incorporate a video from an event. I find a video I like, download it and then place it directly into my newsletter design. It’s super easy. I could never have done that in PowerPoint because readers wouldn’t have been able to click on it directly; they would have been redirected to an external link instead,” Paula shares.
Once she finalizes her newsletter design, Paula uses Constant Contact to distribute it. She can seamlessly use Visme's HTML code embedment to have her designed newsletter via Constant Contract since all Visme URLs are embedded automatically.
A major win for Paula was the successful creation of a library of bio pages for each employee. Paula and her team collected short bios, qualifications and images for every member of their domestic and international teams. They then designed a structured layout to organize this information effectively. Once completed, the team could link individual bios wherever needed, regardless of the employee's location.
“One of my favorite Visme creations is the presentation library I created that has a bio page on each employee. We hyperlink these bio pages in presentations so the prospects can learn more about our team on their own time. For example, if we are doing a global presentation, the attendees can click on the photo for ATG’s DACH business manager and read up on his specific experience and qualifications.”
Since most of their presentations are virtual, the ability to link individual and relevant bios on a team slide using interactive features allows them to provide more information and build confidence in their team without cluttering the presentation design.
“Prospects can go through the presentation at their own pace. For example, let’s say Daniel would be their account manager for the Czech Republic. If the prospect wants to learn more about Daniel and why they’d like to work with him, they can click his bio to view his qualifications, experience, top clients he has managed, and more.”
Another win Paula achieved with Visme was the ability to create a virtual media kit for her CEO without needing an expensive PR team. She compiled all of Tammy’s major interviews, charity events, speaking engagements and more. Using animation, interactivity, visuals, videos and images, she ensured the media kit reflected the best of their CEO.
With Visme’s Brand Kit, Paula also made sure the virtual media kit aligned seamlessly with ATG’s branding.
“Our CEO, Tammy Krings, has an extensive list of speaking engagements, major press clippings, and charitable works, so I built a virtual press kit just for her, which I was very happy with. It’s a fun way to provide a quick overview of her experience, awards and press mentions. This is a great example of something I was able to create in Visme that just wasn’t possible in PowerPoint.”
Paula’s favorite Visme feature is the video library. Since she incorporates video into presentations, graphics and projects, being able to have access to a video library that helps to do the heavy lifting in search saves her a lot of time.
As a team, Paula would say that their favorite Visme feature is having the ability to create and use different folders for multiple projects and presentations.
“It makes it easier for my colleagues who are in different timezones than my own to easily find what they need instead of waiting for me to sign in when my morning starts. We’re organized and efficient."
